About the exhibit space and exhibit personnel:
The Rare Book Room is a secure environment, continually staffed from 9:00 am-6:00 pm
weekdays and alarmed during closing times. Those items requiring protective measures will
receive first consideration for placement in the Rare Book Room. Items exhibited in both
the Rare Book Room and on the 3rd floor will be placed in exhibit cases, which
will remain locked throughout the exhibit. One exception will be original artworks, which
may be placed on the walls in the Rare Book Room.
The Rare Book Collections library faculty will have responsibility for planning
and mounting the exhibit. They have experience mounting exhibits and have been
professionally trained to use preservationally safe, museum-quality standards.
While making an attempt to insure that each participating department is represented,
due to space limitations we can not guarantee that all materials from each department will
be exhibited.
Questions not addressed in the guidelines may be directed
to Gwen Smith or Ken Lavender in the Rare Book Room, 4th floor, Willis Library
(565-2769).

1. Age Limit for Entries:
- Entries may be no older than January 1, 1998.
2. Types of Entries:
What types of works should be entered?
- Entries should illustrate specific faculty expertises and accomplishments in a
professional arena. Published books and articles are encouraged as well as creative works.
Creative works could include materials such as original artworks, photographs, costumes,
and stage sets, as well as more scientifically oriented materials, such as original
engineering designs, etc.
- Each entry should reflect a specific faculty members or members work.
What types of works should not be entered?
- Entries older than January 1, 1998.
- Teaching materials for university courses, unless published.
- Works in progress and/or works intended for publication that have yet to be published.
- Advertising for departmental programs.
- Awards and published write-ups about a faculty member or members, unless these items
reflect and are accompanied by a specific faculty work.
- Materials that do not reflect the work of a specific faculty member or members.
- Materials previously submitted for the 1998 Faculty Exhibition.
3. Format of Entries:
- Faculty members are strongly encouraged to send in entries in their original
format. The actual journals, books, etc., convey the importance of the works on exhibit as
well as add to the professionalism, variety, and color that the Rare Book Rooms
employees normally try to incorporate in their regular exhibits to insure an attractive
and interesting appearance. Entries that are submitted in their original format will
receive priority. If at all possible, please do not enter photocopies.
- Entries sent in already mounted will not be accepted unless they are professionally
matted and/or framed original artworks, etc. The Rare Book Rooms employees are
trained to mount exhibits using preservationally safe, museum-quality standards.
Additionally, the library will provide professional mounting materials.
4. Exhibit Form:
- An exhibit form will be mailed to you in August. Please complete the form and attach it
to your entry. One form should be filled out for each entry submitted. Entries received
without exhibit forms attached will not be accepted.
5. Delivery of Entries:
Entries should be delivered to your appropriate deans office by 5 pm, September
17. They will then be picked up and delivered to the Rare Book Room by library courier.
If you wish, you are welcome to deliver materials in person to the Rare Book Room on the
4th floor of Willis Library (hours: 9:00 am-6:00 pm weekdays) by 5 pm,
September 17.
6. Return of Entries:
The library courier will return entries to your appropriate deans office on
October 29.
- If you wish to pick-up entries in the Rare Book Room, you may do so in person from 9 am
6 pm, October 25 28. If entries are not picked within this time period, the
library courier will return them to your appropriate deans office.
